How to Add a Program Listing

How-to and advice for listing programs in the CambridgeSomervilleResourceGuide.org (CSRG) database:
Before you proceed with the business of adding a program, please search the database to make sure that the program you wish to add is not already part of our database. If it is, you won't want to duplicate it. Instead, you can click on "update this record" at the bottom of the listing and submit any changes or new information to us via that link. Search for your program by typing in the name of your agency in the keyword search, or by searching the alphabetical listings by Agency name. You'll be able to see all of your agency's program listings on CSRG through this view as well.
Because you will need to complete data entry for the each Program Record in one sitting, we encourage you to prepare in advance. Entering program listings will take about five to ten minutes for each program. Please note that once you successfully submit a record, it needs to be reviewed by us before it gets published to the web. Therefore, you should allow one to three business days before you see your updated or newly submitted record on the website. If we have questions about the content of your submission we will call or email the person you have listed as the administrative contact.
Our database is organized by program; each distinct program operated by an agency is listed separately in the database and requires a separate program record. If your agency provides only one service, you will only need to create one program record.If you are an agency that is listing multiple programs, then you will have multiple program records, and the information that you input for your agency in each listing should always be identical.
There are two narrative sections: Agency and Program. The word limit on the Agency narrative is 25 words; for the Program description narrative it is 75 words. It will be time saving for you to create them ahead of time, in order to later paste them into the narrative fields using the "paste from word" icon.
Recommended Steps:
- Before beginning a record entry, make sure you have all the contact information needed (names, phone numbers, email addresses).
- Prepare the 25 word (or less) agency description narrative in Microsoft word.
- Prepare the 75 word (or less) program description narrative in Microsoft word.
- Have a clear idea of which service categories your program represents, so you will select the most appropriate choices that will influence when your program will be part of a user's search results. Remember that after you choose your search categories, you'll click on "update list of specific services" in order for the database to reveal related listings of subcategories for you to select. This is one of the most important pieces of your submission, as it will influence when and where your program will show up in someone's search query. NOTE: We are now requiring that an administrative contact be provided when submitting new listings or updates. This contact information (name and email address) will not appear on the website, but it will be the contact for the person at your agency who is responsible for keeping the listing/s up to date. We will use it internally once or twice a year to ask you for updates.
Due to the word limits and other controls on the program data entry form, if you try to submit your record but have omitted a required field or gone over a word limit, you will get warning messages in red next to the fields with issues. You will not be able to submit a record until these are corrected.
